We are seeking a highly organised, proactive and professional Executive Assistant to provide comprehensive support to senior leaders, coordinating complex diaries, meetings, stakeholder engagement and executive activities. Working at the heart of the organisation, you will play a vital role in ensuring senior leaders are fully prepared, informed and supported to make effective decisions.

About the Role

Reporting to the Senior Leadership Team, you will provide comprehensive executive support across a wide range of activities, ensuring senior leaders are effectively organised, briefed and prepared for meetings, events and engagements.

You will coordinate complex diaries, travel arrangements and executive meetings, prepare high-quality briefing materials, manage correspondence and maintain effective systems for tracking actions and commitments. Working closely with colleagues across HEYCA and external partners, you will help ensure the smooth running of the leadership office and support strong relationships with government departments, local authorities, businesses, elected members and regional stakeholders.

The role requires excellent organisational skills, sound judgement and the ability to manage competing priorities while maintaining the highest levels of professionalism, discretion and confidentiality.

You will –

  • Manage complex diaries, appointments, meetings and executive engagements for senior leaders.
  • Coordinate travel, accommodation and logistical arrangements.
  • Prepare, collate and quality assure briefing packs and supporting information.
  • Track actions, commitments and follow-up activity arising from meetings and engagements.
  • Draft correspondence, acknowledgements and routine communications on behalf of senior leaders.
  • Build and maintain positive working relationships with internal and external stakeholders.
  • Coordinate engagement with local authorities, government departments, MPs, businesses and partner organisations.
  • Maintain accurate records, stakeholder information and executive correspondence.
  • Ensure sensitive information is handled appropriately in accordance with information governance requirements.
  • Support the organisation of meetings, events and leadership activities.
  • Contribute to improving systems, processes and ways of working across the executive office.
  • Work flexibly to support organisational priorities, including occasional evening and weekend commitments where required.

About You

We are looking for an experienced, professional and highly organised Executive Assistant who thrives in a fast-paced environment and enjoys supporting senior leaders.

You will have experience of providing executive support at a senior level and be confident managing multiple priorities whilst maintaining excellent attention to detail. You will be an effective communicator, able to build positive working relationships with a wide range of internal and external stakeholders, whilst exercising sound judgement and maintaining absolute confidentiality.

You will also demonstrate –

  • Significant experience supporting senior leaders, chief executives or elected members.
  • Excellent organisational and time management skills.
  • Outstanding written and verbal communication skills.
  • The ability to prioritise competing demands and remain calm under pressure.
  • Strong attention to detail and commitment to accuracy.
  • Excellent interpersonal and stakeholder management skills.
  • Sound judgement, discretion and political awareness.
  • Proficiency in Microsoft 365 applications including Outlook, Teams, Word and Excel.
  • A proactive, flexible and collaborative approach to work.
